JOB SUMMARY

The Dispatcher serves as the vital link between our dedicated bus drivers and the daily operations that ensure our routes run seamlessly and guarantee that our students arrive safely to their destination. In this role, you will utilize your communication skills to coordinate real-time radio communications, ensuring that our drivers have the support they need while on duty.

 

Working closely with the Transportation Director and Routing Coordinators, the dispatcher is crucial in supporting the district’s transportation operations. In addition, this position will be instrumental in supporting the office and assisting the department's Administrative Assistant with a variety of administrative tasks, all while contributing to the overall efficiency and effectiveness of the department.

 

MINIMUM REQUIRED QUALIFICATIONS

All positions require selected candidates to be fingerprinted and successfully pass a criminal background check.  Additional minimum required qualifications for this position are:

  1. High school diploma or equivalent
  2. Proficient in Microsoft Office Suite and experienced using data-based software
  3. Speak, read, write, and present professionally, analyze, and interpret English written and verbal communications
  4. Ability to operate standard office equipment (e.g., radio, computer, phone, copier, scanner, etc.)

 PREFERRED QUALIFICATIONS

  1. Experience in a K-12 education or public employment environment
  2. Strong communication skills: speak, read, and write professionally, using a formal tone and formatting that is appropriate for work emails, letters, memos, and business documents
  3. Knowledge of Microsoft PowerPoint, Office 365, Publisher, etc.
  4. Knowledge of Business Plus and PowerSchool
  5. Ability to perform standard bookkeeping
  6. First Aid and CPR certifications or ability to obtain certifications within 30 days of employment
  7. Spanish or other language proficiency, including ability to read, write, speak, and understand

 ESSENTIAL FUNCTIONS & RESPONSIBILITIES

  1. Serve as the transportation bus dispatcher; radio drivers and assist routing coordinators with the resolution of student transportation issues; receive reports (e.g. student was not picked up for school or student has not arrived home from school); fill out a daily phone and radio log with information for use by coordinators and director; contacts drivers by radio/telephone for information and updates, provide information to school administrators, staff and parents
  2. Serve as an office assistant; support individuals visiting the transportation office, answer questions and give directions; answer telephone calls, assist parents, principals, teachers, etc. and troubleshoot issues as needed; take messages for departmental personnel
  3. Utilize transportation department software, access maps, bus routes, stops, etc.; provide information to principals, parents, and other stakeholders concerning bus stops, changes, and updates; print and distribute route sheets and maps to drivers and bus assistants
  4. Receive radio/telephone calls from drivers (vehicle accidents, student injuries, stalled buses, etc.); follow department protocol for accidents: telephone police on every accident; relay information to dispatch emergency personnel to accident location if required; dispatch replacement bus and driver if required; notify the director of transportation, principals or schools, district security and mechanics with detailed information (e.g., location of the accident, injuries involved, the school involved, the extent of damage to vehicles)
  5. Assist coordinators with fleet management registration and reports, (e.g. Physical asset listing, location vehicle count, fleet listing, vehicle location report, vehicle asset report, Utilities-building maintenance, control panel, recall information, vehicle purge, and physical assets search, Equipment Maintenance - weekly maintenance schedule, update equipment information); provide support with other additional tasks as needed
  6. Monitor and access GPS system; provide real-time bus location/activity to parents/principals or others as requested (e.g. route activity with mileage and duration, bus stop locations, times and durations, school arrival/departure times, idle time and locations, mileage and engine hours)
  7. Process and file drivers’ vehicle inspection reports, distribute reports to mechanics as required; assist drivers with forgotten bus keys, and fuel cards/pin numbers
  8. Assist field trip coordinator with data entry (e.g., enter trips for schools, coaches, and teachers; change times/dates for trips; notify drivers of changes; print trip tickets for drivers)
  9. Monitor driver’s day-off sheets and field trip pages for the current day and work week; notify coordinators if routes and trips are not covered; assist route and field trip coordinators in making telephone and radio calls to drivers
  10. Assist with departmental correspondence, filing, copying, and secretarial/clerical functions
  11. Maintain magnetic driver and assistant route board; update magnetic board for field trips and spare buses for routes
  12. Assist with driver arrangements for field trips and athletic trips
  13. Communicate effectively with diverse individuals and groups of people while maintaining confidentiality and building positive working relationships with employees and stakeholders
  14. Participate in meetings, workshops, and seminars, as assigned to convey and gather information required to perform functions
  15. Maintain regular and predictable attendance to fulfill job requirements efficiently and effectively
  16. Adapt to changing work priorities and work with frequent interruptions, as required
  17. Support a team environment by collaborating with own and other work units to effectively perform the duties of the position
  18. Work under limited supervision, utilizing time-management and prioritization strategies, accurately processing detailed information, and meeting deadlines
  19. As needed, roll, push, pull, bend, reach, stoop, and lift up to 30 pounds
  20. Perform other related duties as assigned to ensure the efficient and effective functioning of the work unit

WORK ENVIRONMENT & PHYSICAL DEMANDS

The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing, and pulling up to 30 pounds, some stooping, kneeling, crouching, and crawling, and significant fine finger dexterity. Generally, the job requires 60% sitting, 10% walking, and 30% standing. This job is performed in a generally clean and healthy environment.
